| V1 | 2021 | 118,400 | 6,200 | 1,050 | 900 | 88 |

Reference consumption in the fleet policy for this model on unpaved roads: 15 to 18 L/100 km (calculation value: 17 L/100 km). Diesel price: USD 1.80/L. Fixed costs per vehicle (driver, insurance, depreciation, GPS tracking): USD 1,840 per month, i.e. USD 5,520 per quarter.
Long-term hire of an equivalent pick-up with driver, insurance and maintenance included: USD 4,200 per month, minimum commitment of 3 months, fuel paid by the organisation, replacement within 24 hours in the event of a breakdown. The owned vehicles were bought under two grants: V5 under a grant closed in 2017, whose agreement provides that equipment remains the organisation's property after closure; V1 and V2 under an ongoing grant that requires the donor's prior approval for any disposal. Average requirement per vehicle: 6,000 km per quarter.
| Destination | Tonnage to deliver (food and non-food items) | Duration of one round trip (days) | Contract cost (USD per tonne) |
|---|---|---|---|
| Leer | 140 t | 4 | 85 |
| Mayendit | 100 t | 5 | 110 |
| Koch | 120 t | 3 | 70 |
Trucks under framework agreement: 4 trucks, usable payload of 10 t on these roads. The transporter can provide up to 3 additional trucks at the same rate per tonne, with 5 days' notice. After 30 days, the roads to Leer and Mayendit become impassable; Koch remains accessible for about 15 more days.
"For V3, the fuel vouchers show four 90 L fill-ups on 3, 4, 10 and 11 September; the logbook shows that V3 was in the garage from 2 to 12 September for a clutch repair. The fleet officer has been approving fuel vouchers alone since July. The station where the fill-ups are made belongs to a member of his family."

Mark each answer honestly against the panel's grid: the total is calculated automatically.
Common mistakes that cost marks
- Comparing vehicles on fuel cost alone, without fixed costs or maintenance.
- Concluding that hire is always cheaper, or always more expensive, without a calculation at comparable use.
- Calculating the transport duration with no margin when the window is fixed.
- Not ordering the additional trucks with the notice period in mind.
- Confronting the fleet officer yourself or sanctioning him before the investigation.
- Disposing of a vehicle bought under an ongoing grant without the donor's approval.
