- The documents are fictional. Apply only the rules provided; if you make an assumption, state it.
Original practice test, built on the format of written tests used by United Nations agencies and international NGOs. The context and figures are fictitious.
Documents provided
- Daily mission allowance (meals and incidentals): BIF 45,000 per day. The day of departure and the day of return each give entitlement to 50% of the allowance; full days to 100%.
- When lunch is provided by the organisation or by a partner (workshop, training), the allowance for that day is reduced by BIF 15,000.
- Accommodation: reimbursed at actual cost on an original invoice in the organisation's name, capped at BIF 70,000 per night. Any excess requires prior written authorisation from the administration and finance manager.
- Other expenses: an original receipt is mandatory above BIF 10,000; below that, a declaration signed by the staff member is accepted.
- An advance must be liquidated (expense report and supporting documents) within 7 calendar days of return. No new advance is granted to a staff member who has an unliquidated advance.
- An advance is approved by the staff member's line manager; nobody may approve their own advance.

Common mistakes that cost marks
- Counting the days of departure and return as full days.
- Forgetting to deduct the meals provided during a workshop.
- Reimbursing the hotel above the cap without prior authorisation.
- Accepting, correcting oneself or returning an overwritten receipt instead of reporting it.
- Not noticing the self-approval of advance AV-044 and the second advance granted despite an open advance.
